Memberships - Setup

4D EMR allows practices to create and sell preconfigured Memberships that:

  • Automatically issue recurring or expiring Packages to the patient
  • Support scheduled recurring payments (monthly, quarterly, annual, etc.)
  • Setup through the Money module

Prerequisites

  • Requires activation by 4D EMR Support
  • Requires "Treat package as prepayment" setting to be activated by 4D EMR Support
  • Requires integrated credit card processing

Create Packages for Memberships

In order for Memberships to work, you first need to create your Membership Package under the Packages settings.  If you need to review how packages work, please watch this video: 4D EMR Onboarding 5.7 Packages.

Steps

  1. Go to Practice › Products › Packages
  2. Click + New Package
  3. Name the package with a patient-friendly name
  4. Check the box:
    ☑ Memberships Only
    • This ensures the package can only be issued through a Membership, not sold directly.
  5. Add desired products and services with membership pricing
  6. Save the package

Repeat these steps for all packages needed for your membership.

 Steps to Create a Membership

Now that the included Package has been created, you will need to configure the recurring Membership settings.

Steps

  1. Go to Practice > Settings > Money > Memberships
  2. Click + New
  3. 2. Enter the Membership Details
    • Name - Enter the name of the membership
    • Period - Choose the billing interval: One-Time, Monthly, Quarterly, or Annual.
    • End After - Enter the number of billing occurrences
      • For example, “12” for a one-year monthly membership
    • Payment Amount - Enter the amount charged each billing period
      • The Payment amount must be larger than the Package price. If the Payment Amount is higher than the Package price, the difference will be displayed as a Membership Fee in reports and receipts. 

 Adding Packages to the Membership

Steps:

  1. Click + New under the Packages section
  2. Select the package to be included.
  3. Choose whether the package renews One-Time, Monthly, Quarterly, or Annually.
  4. Choose whether package items expire Never, Monthly, Quarterly, or Annually.
    • Never: Items never expire. They remain available until used or manually removed by the practice.
    • Monthly, Quarterly, Annual: Items expire at the chosen interval. Any unused items at the time of expiration are marked as unused and removed.
  5. Click to save the settings
  6. Repeat steps 1-5 for each Package included in the membership

System Calculated Fields

Package Allocation Amount
Displays the portion of each payment that is applied to package items for reporting and commission purposes.

Total Package Allocation Amount
This is the package allocation amount multiplied by the number of payments.

Total Payment Amount
This is automatically calculated by multiplying the Payment Amount by the number of occurrences.

Membership Fee Amount
Calculated as the Payment Amount minus the Package Allocation Amount.

Total Membership Fee Amount
Membership Fee Amount multiplied by the number of occurrences.
