Purpose

The Sales and Payment Summary report provides a high‑level snapshot of daily activity within 4D EMR. Its primary purpose is to:

  • Indicate activity performed by staff
  • Offer a brief summary of receipts and sales activity for the selected date range

This report is intended to be informational and operational, not financial or accounting‑based.


Important Limitations

  • ⚠️ This report is NOT intended for reconciliation and should not be used to tie out to other financial reports, merchant statements, or bank statements.
  • The totals shown in this report are not guaranteed to match totals from other 4D EMR reports or external financial systems.

    Payments Section

    • The Payments portion of the report summarizes receipts entered into the system, regardless of funding source.

    Because refunds are included, and payments for quotes, products and services may not be posted on the same date the quotes, products and services were delivered,  the  Payment totals will likely not match Sales Section totals or differ between reports.


Sales Section

  • The Sales portion of the report displays procedures and sales items recorded in 4D EMR.
  • Sales items shown in quotation marks represent procedures or items that are only displayed after the procedure has been completed.
  • This section is helpful for understanding:
    • What services were completed
    • Which staff members recorded activity
    • Overall clinical or operational throughput during the selected timeframe

Sales totals reflect completed activity, not cash movement.


Why Sales and Payment Totals May Not Match

It is normal and expected for Sales totals and Payment totals to differ, for several reasons:

  • Payments may include refunds, which reduce totals
  • Payments may be applied on different dates than the related sales or services performed
  • Sales are based on delivery of the product or service while payments are based on financial entry activity

As a result, the totals from the Sales and Payments sections should not be expected to equal each other.

✔ Monitoring daily or weekly staff activity
✔ High‑level review of services completed
✔ Quick visibility into general receipt activity
❌ Bank reconciliation
❌ Month‑end financial close
❌ Tying out to merchant or deposit reports


Summary

The Sales and Payment Summary report is a snapshot of operational activity, not a formal financial accounting tool. It is best used to understand what occurred in the system during a given period, rather than to validate totals or reconcile funds.
