Photo Consent Status Indicator

4D EMR now includes an Photo Consent Indicator displayed on the Patient Summary screen. This enhancement allows staff to quickly verify a patient's photo consent status without navigating through multiple sections of the record.


Viewing the Photo Consent Status

To view a patient’s photo consent status:

  1. Open the patient’s chart in 4D EMR.
  2. Navigate to the Summary tab.
  3. Under the Patient Email section, the consent information will be displayed.
    • Example:
      Photo Consent: Granted for marketing and website

This provides an at-a-glance confirmation of the patient's consent settings.


Setting or Updating Photo Consent

The photo consent status is managed from within the patient profile.

Steps to Update the Consent Settings:

  1. Open the patient’s record in 4D EMR.
  2. Go to Profile → Details.
  3. Click Edit Profile.
  4. Scroll to the bottom of the page to locate the Optional Fields section.
  5. Expand the section to reveal Photo Consent settings.
  6. Adjust the two available photo consent fields as needed.
  7. Save your changes.


Important Notes

  • Consent indicator is NOT automated.  Photo consent must be manually set by staff.
  • Practices must only update the consent status after receiving a written or electronically signed consent from from the patient.
  • Keeping these fields accurate ensures compliance with patient privacy and marketing usage guidelines.
