4D EMR Onboarding 8.1 - Patient Logs (01:52)

Patient Logs

Overview

Patient logs provide organized, structured lists of key information within a patient’s account.
These logs help your team quickly review appointment history, purchases, prescriptions, and implant usage.

This section walks through each log type and provides a detailed example using the Implant Log.


Accessing Patient Logs

Navigate to:
Patients → Select Patient → Logs Dropdown

Each log corresponds to a different area of the patient’s record.


Types of Patient Logs

Appointment Log

  • Displays all past and upcoming appointments
  • Shows whether the patient was seen

Purchases Log

  • Lists items the patient has purchased
  • Not a full financial ledger—just basic purchase details

Implant Log

  • Used to document implants placed for the patient
  • Supports barcode/QR scanning for faster data entry

Prescription Log

  • Lists medications prescribed from your 4D database

E‑Prescribing Log

  • Shows additional prescription details from the e‑prescribe integration


Using the Implant Log

The Implant Log is especially important for surgical practices.
Here’s how to document implants accurately.

Step 1 — Open the Implant Log

  • Select Implant Log
  • Click + New to open the implant entry form

Step 2 — Enter Implant Details

  • Choose the implant category
  • Select the site (e.g., left, right)

Step 3 — Scan Barcode or QR Code (Optional)

  • If the implant packaging includes a barcode or QR code, scan it
  • 4D will autofill any readable data

Important Notes:

  • Smudged or damaged codes may not scan
  • Manufacturers vary in what data they encode
  • Not all fields will populate automatically

Step 4 — Enter Missing Information

  • Manually fill in any fields that did not autofill
  • Ensure all required documentation is complete

Step 5 — Add Additional Implants (If Needed)

  • If the patient received two implants, select Save and Add Another
  • The form will automatically switch sides for the second entry

Step 6 — Save

  • Select Save to finalize the implant log entry


 

4D EMR Onboarding 8.2 - How to eRx (03:10)

How to eRx

Overview

4D includes a fully integrated electronic prescribing (eRx) system.
Before you can send prescriptions, you must complete:

  • Identity proofing
  • Two‑factor verification

These steps are federally required—especially for controlled substances—and must be completed with your project manager before eRx will function.

Once configured, you can prescribe medications directly from the patient’s chart or from the schedule.


Accessing eRx

There are two ways to begin an electronic prescription:

From the Schedule

  1. Right‑click the patient’s appointment
  2. Navigate to Patient → E Prescribe

From the Patient Chart

  1. Navigate to Patients
  2. Open the patient’s account
  3. Select Clinical → E Prescribe

Both paths open the DrFirst eRx integration inside 4D.


Step 1 — Assign the Patient’s Preferred Pharmacy

The first time you open eRx for a patient:

  • A red box will appear prompting you to assign a pharmacy
  • Select the link to open the pharmacy search page

Search Tips

For best results, enter:

  • Pharmacy name
  • State
  • ZIP code

Select the correct pharmacy to save it to the patient’s profile.


Step 2 — Create a New Prescription

At the top of the eRx page, select Create New RX.

Search for the Medication

  • Use the generic name for the most accurate search results
  • Select the correct strength

Enter Directions

On the Directions page:

  • Enter patient instructions
    • Example: “Take one tablet by mouth once daily.”
  • Add any additional instructions as needed

Enter Quantity / Day Supply

  • Specify the day supply or total quantity
  • For compounded medications, add notes for the pharmacist

When finished, select Review.


Step 3 — Review and Queue the Prescription

A review window will display:

  • The selected pharmacy
  • Medication details
  • Instructions
  • Quantity

If everything is correct:

  • Select Save Pending RX
  • The prescription is now queued and ready to send

Pending prescriptions appear at the bottom of the page.


Step 4 — Send the Prescription

For Non‑Controlled Substances

  1. Enter your signature password
    • Format: FirstName + rx (lowercase)
    • Example: If the provider’s name is James → Jamesrx
  2. Select Send

The prescription is transmitted to the pharmacy.


For Controlled Substances

Controlled substances require an additional authentication step.

  1. Enter your signature password
  2. Select Send
  3. Enter your:
    • Signature passphrase (created during identity proofing)
    • One‑time PIN from your physical or mobile token

Once both fields are entered, the controlled substance can be sent.


Summary

To ePrescribe in 4D:

  1. Complete identity proofing and verification
  2. Assign the patient’s preferred pharmacy
  3. Create a new prescription
  4. Review and save it as pending
  5. Send using your signature password
  6. For controlled substances, complete the additional authentication step

4D EMR Onboarding 8.3 - eRx Favorites (01:51)

eRx Favorites 

Overview

If you frequently prescribe the same medications, rebuilding each prescription from scratch can slow down your workflow.
eRx Favorites allow you to save commonly used prescriptions so you can queue them quickly—either for yourself or for your entire practice.

Favorites can be:

  • Personal (provider‑specific)
  • Shared (practice‑wide or location‑specific)

Accessing eRx Favorites

To begin, open the E Prescribe integration.

  1. Select the three‑line menu icon at the top of the page
  2. Choose Utilities
  3. Select Favorites

You will now see options to manage favorites:

  • Practice
  • Location
  • Provider

Recommended Setup

Save favorites under the Practice tab so provider agents can queue them for you.


Creating a New Favorite

  1. Select Add Favorite
  2. Begin typing the medication name
  3. Select the correct medication when it appears
  4. Choose the strength
  5. Enter the patient directions
    • Example: “Take one tablet by mouth once daily as needed.”
  6. Enter the quantity or day supply
  7. Select Save at the bottom of the page

Your new favorite is now stored and ready for use.


Using a Favorite During eRx

When prescribing:

  1. Select the star icon at the top of the eRx page
  2. Choose the favorite you want to use
  3. The system automatically builds the prescription
  4. Scroll to the bottom of the page
  5. Complete the prescription process as usual

Favorites eliminate repetitive steps and ensure consistency across prescriptions.


Creating Favorites on the Fly

If you forget to save a favorite ahead of time:

  • After building a prescription manually, select the star icon near the bottom of the page
  • Save the current prescription as a new favorite

This is useful when you realize mid‑workflow that you’ll likely prescribe the same medication again.


Best Practices

  • Create favorites for any medication you prescribe regularly
  • Use Practice‑level favorites so support staff can queue prescriptions for you
  • Keep favorites updated as prescribing patterns change

4D EMR Onboarding 8.4 - Provider Agents (01:27)

Provider Agents Overview

Some providers prefer that designated staff members submit non‑controlled prescriptions on their behalf.
4D supports this workflow through Provider Agents, allowing authorized staff to send non‑controlled medications and queue controlled substances for provider approval.

Before assigning provider agents, staff must first be set up in the eRx system.


Step 1 — Ensure Staff Are Set Up for eRx

Before assigning provider agents:

  1. Inform your project manager which staff members need eRx access
  2. Your project manager will coordinate with DrFirst to:
    • Create staff eRx accounts
    • Link them to your 4D environment

Once this setup is complete, you can assign provider agents.


Step 2 — Access Provider Agent Management

Navigate to any patient’s E Prescribe page.

  1. Select the three‑line menu icon at the top
  2. Choose Utilities
  3. Select Manage Provider Agent Assignments

This opens the provider agent management screen.


Step 3 — Select the Provider

At the top of the page:

  • Ensure User to Manage is set to the provider, not a staff member

Once the provider is selected:

  • A list of eligible staff members will appear


Step 4 — Authorize Staff as Provider Agents

  1. Select the staff members who should be allowed to prescribe non‑controlled medications
  2. Click Authorize
  3. Select Approve Changes
  4. Confirm the assignment

These staff members are now authorized provider agents.


What Provider Agents Can Do

Authorized Staff Can:

  • Submit non‑controlled prescriptions on behalf of the provider
  • Queue controlled substances for the provider to finalize

Authorized Staff Cannot:

  • Complete the final signature process for controlled substances

For controlled medications, the provider must still enter:

  • Their signature passphrase
  • Their one‑time PIN from their token

This ensures compliance with federal prescribing regulations.


Best Practices

  • Assign provider agents only to trusted staff
  • Review agent assignments periodically
  • Use practice‑level eRx favorites so agents can queue prescriptions efficiently
  • Ensure all staff understand which prescriptions they can and cannot send

4D EMR Onboarding 8.5 - Online Scheduling (05:39)


Online Scheduling – Outline Instructions

Purpose:
Explain how online scheduling works in 4D and how to configure it for your practice.


Prerequisites

  • Appointment types must be created in the system.
  • (Optional) Configure schedule templates or placeholder features if your practice uses them.

Step 1: Patient Online Scheduling Experience

  1. Share your unique hyperlink on your website or social media.
  2. Patient clicks the link → Online Scheduling page opens.
  3. Patient selects Continue and searches for an appointment type.
    • You control which appointment types are available online.
  4. Patient chooses a provider.
    • Available dates/times appear (busy times are excluded).
  5. Patient enters:
    • Email, phone number
    • First name, last name, DOB, optional info
  6. Patient reviews request on confirmation page → clicks Confirm.
  7. System notifies patient that the appointment is requested in 4D EMR.

Step 2: Managing Online Bookings

  1. Click Online Bookings button to view pending requests.
  2. Select the date in blue to review details.
  3. Right-click appointment block → Edit to view patient info.
    • If patient exists, system links their account automatically.
  4. Accept or reject the request:
    • Accept → Appointment added to schedule.
    • Reject → Contact patient to reschedule.
  5. If text notifications are enabled, reminders are sent automatically.

Step 3: Configure Online Scheduling Settings

  1. Navigate to: Practice Settings → Schedule → Online Scheduling.
  2. Copy the hyperlink for your website/social media.
  3. Online scheduling uses templates for each provider.

Step 4: Create a Template Example

  • Provider: Doctor Beauty
  • Goal: Existing patients can book consults online on Mon/Wed/Fri, 8 AM–12 PM.
  • Steps:
    1. Select provider → Plus New.
    2. Name template (e.g., “Existing Patient Consults”).
    3. Choose appointment types (e.g., Consult Existing Patient).
    4. Select location (if multiple sites).
    5. Configure payment options (card on file or prepayment).
    6. Set booking window:
      • Start: Next day
      • End: 30 days out
    7. Set hours: 8:00 AM–12:00 PM.
    8. Enable days: Mon, Wed, Fri.
    9. Click Save.

Step 5: Customize Patient-Facing Text

  • Click Edit Settings next to Online Scheduling header.
  • Customize:
    • Page title
    • Welcome text
    • Booking text
    • Confirmation text (top/bottom)
      • Include disclaimers, payment policies, reminders.
  • Option: Prevent multiple bookings within the same hour.
  • Click Save.

4D EMR Onboarding 8.6 - Photos and Video (02:09)

Photos and Video

Overview

4D allows you to upload, manage, and organize patient photos and videos directly within the system.
Your practice may also use optional third‑party photo integrations—check with your project manager to confirm which integrations are available.

This section covers how to upload media, view and edit images, and use photos and videos throughout 4D.


Uploading Photos

Step 1 — Access the Patient’s Media

Navigate to:
Patients → Select Patient → Media Dropdown → Photos

If the patient has uploaded images through the portal, they will appear automatically.


Step 2 — Import Photos

You can upload photos from:

  • Computer
  • Tablet
  • Phone

Select Import, then choose the + icon to browse your device.

On Tablets or Phones

You can also:

  • Open the device camera
  • Capture images in real time
  • Upload directly into the patient’s chart

Viewing and Comparing Photos

After uploading:

  1. Select the photos you want to work with
  2. Choose View

You can:

  • Stack images
  • Place them in grids
  • Create before‑and‑after comparisons

These tools help support clinical documentation and patient consultations.


Editing Photos

Select Edit to access built‑in tools:

  • Adjust brightness and contrast
  • Blur sensitive areas
  • Draw or annotate
  • Add text
  • Rotate images

These basic editing features help you prepare photos for charting, presentations, or patient discussions.


Uploading Videos

Navigate to:
Media → Videos

Video management works the same way as photos:

  • Import videos from your device
  • Record directly from a tablet or phone

Important Notes

  • Maximum video file size: 2 GB
  • Only supported file formats can be uploaded

Using Photos in Other Areas of 4D

Uploaded photos can be:

  • Inserted into the Drawings Manager during charting
  • Set as the patient’s profile picture on the schedule

This helps streamline documentation and improves visual organization.


Advanced Photo & Video Options

If your practice needs more advanced imaging features:

  • Ask your project manager about available third‑party photo integrations
  • They can help determine which solutions best support your workflow

4D EMR Onboarding 8.7 - Scanning (01:55)

Scanning

Overview

Many practices need to scan patient forms, IDs, and documents directly into 4D.
4D includes a built‑in scanning system that allows you to scan files straight into a patient’s account.
Because scanner hardware varies widely, it’s important to test your setup and confirm compatibility before going live.


Important Notes Before You Begin

  • Scanner models change frequently, so always test your workflow after setup
  • If issues arise, contact your project manager for troubleshooting
  • Apple devices cannot communicate directly with scanners
    • Recommended workflow: scan to the Apple device first, then import into 4D

Setting Up Your Scanner

Step 1 — Navigate to Direct Scan

Go to:
Patients → Forms and Scans → Direct Scan

If this is your first time accessing the page:

  • You will be prompted to download a driver
  • Install this driver on every computer that will use the scanner
  • This driver allows 4D to communicate with your scanner

Step 2 — Confirm Scanner Detection

Once the driver is installed:

  • Your scanner should appear in the device list
  • If it does not appear:
    • The scanner may need a firmware update
    • Or it may not be compatible with 4D

Scanning a Document

Step 1 — Choose Scan Settings

Select:

  • Scanning category
  • Quality settings
  • File name

Step 2 — Scan

Select Scan to begin capturing the document.

After scanning, you can:

  • Rotate the image
  • Adjust the orientation
  • Add additional pages

Step 3 — Save

When finished, select Save.

Your scanned document will appear under:
Forms and Scans → View and Import

Here you’ll see:

  • Scan title
  • Import date
  • Assigned category

Managing Scan Categories

If your practice needs additional categories:

  1. Navigate to Practice → Charting → Scanned Item Categories
  2. Select + New
  3. Enter the category name
  4. Save

The new category will now be available during future scans.


Using Multiple Scanners

You can use multiple scanners in your practice as long as:

  • Each scanner is recognized by the computer
  • Compatible drivers are installed
  • Each workstation is tested before go‑live

If any scanner fails to connect or scan properly, contact your project manager for support.

 


4D EMR Onboarding 8.8 - Faxing (01:57)

Faxing

Overview

4D EMR includes a built‑in faxing system that allows you to send and receive faxes directly within the platform.
Your practice can use the default 4D fax number or port an existing digital fax number—your project manager can assist with the porting process.

Once faxing is active, you can fax chart notes, imported forms, and documents created in the Forms Library.


Sending a Fax

Step 1 — Open the Patient’s Chart Note

Navigate to:
Patients → Select Patient → Clinical → Read Notes

  1. Open the chart note you want to fax
  2. Select the folder icon in the top‑right corner
  3. Choose Fax

Step 2 — Enter Recipient Information

A fax window will appear where you can:

  • Select a recipient from your phone book, or
  • Manually enter a name and fax number

Once the information is entered, select Send.

Automatic Cover Page

All outgoing faxes include a built‑in cover page indicating the fax contains PHI.


Faxing From Other Areas of 4D

Anywhere you see a Fax option—forms, imported documents, chart notes—the workflow is identical:

  1. Select Fax
  2. Enter or select the recipient
  3. Select Send

This consistency makes faxing easy across the entire system.


Checking Fax Status

Navigate to:
Forms and Scans → Faxes

Here you can:

  • Filter inbound or outbound faxes
  • View all patient faxes or only those related to the current patient

Fax Status Indicators

  • Green arrow (→) = Outgoing fax
  • Blue arrow (←) = Incoming fax

Select the PDF icon to open the fax.


Assigning Incoming Faxes

For incoming faxes:

  1. Open the fax using the PDF icon
  2. Assign it to the correct patient
  3. It will then be stored in the patient’s account for future reference

This ensures all faxed documents are properly organized and accessible.


Final Notes

  • Test your faxing workflow before going live
  • Confirm that sending, receiving, and assigning faxes works smoothly
  • Work with your project manager if you need to port an existing fax number or troubleshoot device issues

4D EMR Onboarding 8.9 - Signatures (01:37)

Signatures

Overview

4D allows providers to add a handwritten signature that can be applied to imported forms and chart notes.


This feature is optional but helpful for practices that want signed documentation directly within the EMR.

For best results, providers should log in on a tablet and use a stylus when creating their signature.


Adding Your Signature

Step 1 — Open My Settings

  1. Select your name in the top‑right corner of 4D
  2. Choose My Settings

Step 2 — Add Signature

  1. In the Settings window, locate the Signature section
  2. Select Add
  3. A yellow signature box will appear
  4. Sign inside the yellow area
  5. Select Apply
  6. Scroll to the bottom of the page and select Save

Your signature is now stored and ready to use.


Using Your Signature on Forms

Step 1 — Open the Patient’s Forms

Navigate to:
Patients → Select Patient → Forms and Scans → View and Import

You’ll see a list of the patient’s scanned forms and documents.

Step 2 — Apply the Signature

  1. Select the stamp icon next to the document you want to sign
  2. The form will open
  3. Choose which pages should receive the signature
  4. Select Sign or Sign and Date at the top of the page
  5. Your signature will appear on the form
  6. Move or resize the signature as needed
  7. Select Save

The signed form is now stored in the patient’s account.


Using Your Signature in Chart Notes

While writing a chart note:

  • Select the Signature button
  • Your stored signature will be inserted into the note

This is commonly used at the bottom of provider‑authored notes.

 


4D EMR Onboarding 8.10 - Texting (05:23)

 

Texting 

Overview

4D includes a built‑in, two‑way texting system that allows your practice to communicate with patients directly from the EMR.
You can send and receive messages, create reusable text phrases, and configure automated text notifications such as appointment reminders and confirmation requests.

This section covers:

  • How to view and send text messages
  • How notifications appear for staff
  • How to create reusable text phrases
  • How to configure automated text message notifications

Viewing and Sending Text Messages

Accessing Text Messages

Navigate to:
Patients → Select Patient → Talk → Text Messages

Here you’ll see the full conversation history with that patient.

Key Features

  • Two‑way texting: Patients can text questions or updates, and staff can reply directly
  • Call forwarding: If a patient calls your texting number, the call automatically routes to your main office line
  • Mobile number required: Texting only works with mobile numbers—landlines cannot receive texts

Sending a Message

  1. Type your message in the message field
  2. Select the send arrow
  3. The patient can reply directly to the thread

Text Message Notifications

When a patient replies, staff are notified in two ways:

Red Notification Icon

  • Appears next to your name in the text message dropdown
  • Indicates unread messages

Appointment Indicator

  • If the patient has an upcoming appointment, a light indicator appears on the appointment block
  • Alerts staff that a new text message is waiting

Notifications remain active until the message is opened via the envelope icon.


Creating Text Message Phrases

Text message phrases help staff respond quickly to common questions (office hours, directions, scheduling, etc.).

How to Create Phrases

Navigate to:
Practice → Admin → Doctors and Staff

  1. Hover over a staff member’s name
  2. Select the envelope icon
  3. Select + New
  4. Enter:
    • Abbreviation (shortcut)
    • Message text
  5. Save the phrase

These phrases:

  • Can be shared across staff
  • Can also be used for emails sent from 4D

Automated Text Message Notifications

4D allows you to send automated text messages for:

  • Appointment reminders
  • Confirmation requests
  • Marketing messages (opt‑in only)

Example

A confirmation text may ask the patient to reply Y to confirm.
If they reply Y, the appointment status automatically updates—no staff action required.


Configuring Text Notifications

Navigate to:
Practice → Admin → Notifications

You’ll see several deactivated example templates you can customize.

Step 1 — Select a Template

One of the most common is Confirmation Request.

Step 2 — Configure Basic Settings

  • Name the notification
  • Choose the trigger event (e.g., before the appointment)
  • Select applicable appointment types
  • Choose how many days before the appointment the message should send

Multiple Reminders

Some practices send:

  • One reminder 5 days before, and
  • Another 2 days before

Enable Only if Unconfirmed to prevent multiple reminders after the patient has already confirmed.


Step 3 — Additional Options

  • Marketing toggle: Only sends to patients who have opted in
  • Contact phone number: Usually your main office number
  • Locations and providers: Choose where the notification applies
  • Send Once Per Day: Prevents multiple notifications in a single day

Step 4 — Configure Message Content

Choose:

  • Which staff member should be notified when a patient responds
  • Whether to suppress notifications for simple “Y” confirmations

Writing the Message

In the Messages field:

  • Use placeholders (e.g., {0}, {1}, {7}, {2})
  • These automatically insert patient and appointment details

Examples:

  • {0} = Patient first name
  • {1} = Provider name
  • {7} = Appointment date/time
  • {2} = Office phone number

A preview shows how the message will appear to the patient.

Optional Email Version

You can also enable an email message, but note:

  • Email replies do not update appointment confirmations
  • Adjust wording accordingly

4D EMR Onboarding 8.11 - Nourish (02:30)

Nourish 

Overview

The Nourish section in 4D provides tools for managing:

  • Non‑clinical contact notes
  • Staff task assignments (To Do items)
  • Lead tracking and management

These features help practices document internal interactions, delegate responsibilities, and manage prospective patients—all outside the clinical chart.


Contact Notes

Purpose

Contact notes are non‑clinical and used for internal documentation such as:

  • Patient phone calls
  • Administrative follow‑ups
  • Billing questions
  • Scheduling conversations

These notes do not appear in the clinical chart.

How to Create a Contact Note

Navigate to:
Patients → Select Patient → Nourish → Contact

  1. Select + Note
  2. Enter the note details
  3. Select Save

The note is saved with:

  • The content entered
  • The name of the staff member who created it

Use contact notes whenever documentation is needed but does not belong in the medical record.


To Do Items

Purpose

To Do items allow you to:

  • Assign tasks to yourself
  • Delegate tasks to other staff members
  • Track follow‑ups and deadlines

This is especially useful for coordinating patient callbacks, follow‑up actions, or administrative tasks.

How to Create a To Do Item

Navigate to:
Nourish → To Do

  1. Select + New
  2. Choose the task type (phone call, email, deadline‑based task, etc.)
  3. Confirm the correct patient
  4. Select the responsible staff member
  5. Set a due date:
    • Choose a specific date, or
    • Select a timeframe (e.g., weeks or months)
  6. Add a task description
  7. Select Save

The To Do item will appear as Pending.


Notifications for Assigned Staff

  • The assigned staff member receives a notification at the top of 4D
  • An indicator appears next to their name in the dropdown
  • They can open the task directly from this notification

Completing To Do Items

  • Staff mark the task as Done once completed
  • Completed tasks disappear from the default view
  • They can be reviewed anytime by filtering for Completed items

To Do items help practices stay organized and ensure follow‑ups are completed on time.


Leads

Purpose

The Leads section allows your practice to track and manage prospective patients.

How to Create a Lead

Navigate to:
Nourish → Leads

  1. Select + New
  2. Enter the lead information based on your practice’s needs
  3. Save the entry

Lead Integrations

4D supports:

  • WordPress website integrations (leads flow directly into 4D)
  • Select third‑party lead partners

Work with your project manager to:

  • Enable integrations
  • Review available options
  • Determine the best fit for your workflow

4D EMR Onboarding 8.12 - Telehealth (00:58)

 

Telehealth 

Overview

4D includes a built‑in telehealth feature that allows providers to conduct virtual visits directly within the platform.
This tool supports simple, secure video sessions without requiring third‑party applications.


Starting a Telehealth Session

Step 1 — Open the Patient’s Account

Navigate to:
Patients → Select Patient → Clinical → Telehealth

Selecting Telehealth will:

  • Activate your computer’s camera
  • Activate your microphone
  • Display your video feed in the top‑left corner of the screen

Step 2 — Notify the Patient

From the telehealth screen:

  • Send an email notification to the patient
  • This message lets them know you are ready and the telehealth session is live

The patient will receive the email and join the session from their own device.


Step 3 — Conduct the Telehealth Visit

Once the patient joins:

  • You can speak with them directly through the built‑in video window
  • Conduct the visit as you would in person
  • Document the encounter in 4D as needed

The entire session takes place inside the EMR—no external software required.


Step 4 — End the Session

When the appointment is complete:

  • Select End Session
  • Continue working in 4D as usual

Additional Notes

  • Telehealth features may evolve over time
  • Review updates with your project manager to stay current on enhancements or workflow changes

4D continues to expand its ecosystem by partnering with a wide range of vendors.
At the time of this recording, nearly 50 integrations are available—with more added regularly.

This section does not cover each integration individually.
Instead, it explains:

  • Where integrations are located in 4D
  • What to expect during onboarding
  • How different integrations may vary in setup and functionality

Viewing Available Integrations

Navigate to:
Practice → Settings → Integrations

This page displays:

  • All integrations currently supported in 4D
  • A brief overview of each integration partner
  • The tools and features available through each connection

Each integration offers different capabilities depending on what the partner has developed.


Types of Integrations

Integrations generally fall into two categories:

4D‑Assisted Integrations

  • Straightforward to configure
  • Setup can be completed with help from the 4D team
  • Often require only basic settings or credentials

Partner‑Managed Integrations

  • Fully built and maintained by the integration partner
  • Require additional setup steps
  • May involve:
    • Direct communication with the partner
    • A demo or consultation
    • Additional onboarding or configuration fees

Your project manager will guide you through which category each integration falls into.


What to Expect During Integration Onboarding

1. Review Available Integrations

Browse the Integrations page to identify tools relevant to your practice.

2. Contact the Integration Partner (If Needed)

For many integrations, you may need to:

  • Request a demo
  • Confirm features
  • Ensure the integration meets your workflow needs

3. Coordinate Setup

Your project manager will:

  • Provide high‑level guidance
  • Outline next steps
  • Help coordinate configuration with the integration partner when applicable

4. Test Before Going Live

Because integrations vary in complexity, always test functionality before relying on it in daily operations.

4D EMR Onboarding 8.14 - Calendar Groups (01:42)

Calendar Groups 

Overview

Calendar Groups allow you to quickly organize and toggle multiple calendars on and off for easier viewing.
This feature is especially useful for larger practices that need to switch between different sets of schedules—such as provider calendars, Med Spa calendars, or surgical teams—without manually selecting or deselecting individual calendars.

Before using Calendar Groups, ensure all staff calendars and add‑on calendars have already been created.


Using Calendar Groups

Accessing Calendar Groups

Navigate to the Groups tab on the left side of the schedule.

Activating a Group

  1. Select the eye icon next to the group name
  2. All calendars included in that group will appear
  3. All other calendars will be hidden

Activating Multiple Groups

You can turn on more than one group at a time by selecting multiple eye icons.
This allows you to combine views—for example, Providers + Med Spa.


Creating Calendar Groups

Navigate to:
Practice → Admin → Scheduling → Calendar Groups

Step 1 — Create a New Group

  1. Select + New
  2. Enter a name for the group
    • Example: “Doctors Only”

Step 2 — Select Calendars

  1. Choose which calendars should be included in the group
    • For a Doctors Only group, select all provider calendars

Step 3 — Save

Select Save to create the group.


Creating Additional Groups

To create another group:

  1. Select + New
  2. Name the group
    • Example: “Med Spa Staff”
  3. Select the appropriate calendars
  4. Save

Repeat as needed to build all calendar groups your practice requires.


 

4D EMR Onboarding 8.15 - Schedule Invoicing (01:10)

Schedule Invoicing

Overview

Some practices prefer to create invoices directly from the schedule while the patient is still in the office.
This workflow allows staff to quickly add charges during the appointment and collect payment before the patient leaves.

Before using this feature, ensure:

  • All products, services, and procedures are created in 4D
  • Your appointment types are fully configured

Creating an Invoice from the Schedule

Step 1 — Locate the Appointment

Navigate to the schedule and find the patient’s appointment.

  1. Right‑click the appointment
  2. Hover over Patient
  3. Select Create Invoice

A new invoice window will open.


Step 2 — Add Products and Services

In the invoice window:

  1. Add the products, services, or procedures being charged
  2. Mix and match as needed—multiple items can be added to the same invoice
  3. Apply any discounts if appropriate
  4. Select Save Charges

The charges are now attached to the appointment.


Step 3 — Collect Payment

To proceed to checkout:

  1. Right‑click the appointment again
  2. Select Go to Money
  3. The patient’s Money tab will open
  4. Any outstanding balance will appear highlighted in red

Select the green card icon to begin the checkout process and collect payment.
