Creating or Modifying an Appointment Type

  1. Go to Practice > Admin > Scheduling > Appointment Types
  2. Click 
  3. Fill out the form:
    1. Appointment Name - the name of the appointment visible on the schedule
    2. Category - If the appointment type should be visible under New Patient, Existing Patient or Happening Appointments
    3. Default Duration - the default length of time for the appointment. Can be overridden per appointment subtype or per provider
    4. Description - A text description of the appointment type
    5. Title of Chart Note - the default header of Chart Notes created from this appointment type
  4. Check appropriate options:
    1. Collect Co-Payment - if checked invoices for copayment will be automatically created when checking in appointments of this type
    2. Surgical Appointment - Flags the appointment as surgical for reporting 
    3. Can Be Outside the Office - Allows scheduling the appointment at outside locations such as hospitals or  ASC centers
    4. Associated with Quote - Links the appointment with a quote and displays quote information on the appointment. Useful for preops, surgeries and postops. 
    5. Use Quote Time - overrides the appointment default duration with the duration specified in linked quotes
    6. Show Consult Reason - displays the Consult Reason drop down
  5. Configure Subtypes - can be used to create appointments with higher specification without creating separate appointment types.  Subtypes will use the same appointment color but can have different default durations.
    1. Click 
    2. Enter the Name of the subtype and Duration if different from the Type default duration
    3. Click  to save the subtype
  6. Configure Providers - By default all appointment types are visible under all providers. The provider setup can be used to limit the appointment type to specific providers or specify default durations for each provider. 
    1. Click  
    2. Select the desired provider, default duration, and Primary provider
      1. The primary provider is the provider who will need to co-sign notes when created by midlevel or staff members.
    3. Click  to save the provider configuration
  7. Configure Add-On Calendars - Add-On Calendars can be used to automatically schedule all appointments of that type with a specified calendar resource in addition to the one manually specified in the appointment. This can be used to prevent double booking on machines, treatment rooms, or other resources. 
    1. Click  
    2. Select the desired calendar 
    3. Click  to saveAdd-On Calendar
