Access Differences

    • Restricts date range filters to a single day
  • Financials → Close Report
    • Available to staff with the appropriate permissions
    • Allows filtering across any date range

Purpose

The Close Report is intended to support bank reconciliation and receipt tie‑out activities by providing a detailed record of all payment and refund transactions entered in 4D EMR for a selected date range.

This report serves as the primary source for validating that receipts recorded in 4D EMR align with merchant batches and bank deposits, once standard payment processing and timing differences are accounted for.

The report supports filtering and grouping by:

  • Cashier, Provider, or Coordinator
  • Location

Important Considerations When Reconciling

  • Transactions are displayed based on Posted Date, which reflects when the transaction was entered into 4D EMR, not when funds were deposited.
  • Merchant processors may:
    • Batch transactions after the posted date
    • Deposit funds on later business days
    • Net refunds or processing fees against deposits

As a result, daily and monthly totals may require timing adjustments when reconciling to bank statements.

These timing differences are expected and should be documented during the reconciliation process.

Report Sections

1) Totals by Payment Method

This section provides a summary table that rolls up Refund, Payment, Change, and Net amounts by payment method across the selected date range.

Common payment methods may include (examples):

  • Credit cards (e.g., Visa, Mastercard, Amex, Discover)
  • Financing programs
  • Cash
  • Other custom tender types defined by the practice

This section is typically used as a starting point for reconciliation by tender type.


2) Transaction Details

(Grouped by Location → Cashier)

Following the payment method summary, the report expands into detailed transaction sections for each Location, and within each location, for each Cashier (including “Cashier Unspecified” when no Cashier is assigned).

Each detail section uses a consistent column layout:

  • Posted – Date the transaction was entered
  • Service – Service date associated with the transaction
  • Patient Name
  • Method – Payment method
  • Refund
  • Payment
  • Change
  • Net

How to read this section:
Each row represents a single transaction.
Net typically equals Payment − Refund − Change.

Rows are grouped to clearly show transaction activity by Cashier within each location.


3) Payment‑Method Subsections with Subtotals

Within each Cashier’s transaction detail, the report further breaks data into payment‑method subsections.

Each subsection includes:

  • Individual transaction rows for that payment method
  • A “Subtotal for [Payment Method]” line

This layout makes it easy to:

  • Identify all transactions for a specific payment method
  • See a subtotal before moving on to the next method

4) Cashier (or Provider or Coordinator) Totals (Per Location)

After all payment‑method subtotals for a Cashier are listed, the report displays a:

“Total for Cashiers at this location”

This total aggregates all payment methods for that Cashier within the specific location, providing a quick per‑Cashier receipt total before moving to the next Cashier.


5) Location Totals

Once all Cashiers for a location are listed, the report displays:

“Total for [Location]”

This represents the overall total for the location, combining all Cashiers and payment methods for the selected date range.

  • Provide clear visibility into all receipts and refunds entered
  • Support bank and merchant reconciliation
  • Allow review by payment method, Cashier, and location
