At 4D EMR, we mean it when we say that we are client-feedback driven! Version 146 is a gargantuan release that is stuffed full of client-requested features. I highly recommend reading through the full list of changes included at the bottom of this email. There are so many new features I can't mention them all here!

Some notable highlights include:
  • Ability to Prepare chart note drafts for future appointments
  • Linking multiple 360 Payment Merchant accounts
  • Adding a Photo Consent filter to the Patient Export report
  • Hide unneeded quote versions
  • Specify a custom quote date when creating quotes

Preparing Chart Note Drafts for Future Appointments

By popular demand, it is now possible to prepare chart note drafts for future appointments. This feature will allow you to right-click on a future appointment and select Write Note. All chart note features, such as the Physical Exam Wizard, templates, blurbs, and drawings, are available. 

Chart notes for future appointments cannot be signed until the day of the appointment. 

Patient Export: Photo Consent Filter Options

The Patient Export report found in Practice > Reports > Marketing has been updated to include a Photo Consent filter. This filter can be used to generate a list of patients who have provided photo consent. 

New Quote Features

Hide or Show Quote Versions

When saving a new version of a quote you can now hide the original version by clicking on the new Save and Hide Original button. Hiding a quote version will remove the version from the default version list.

Hiding accidental or unneeded versions will help keep the quote version list limited to versions that the patient may potentially move forward with. 
The Quote Versions list has been updated to include a filter hidden quote versions. Quote versions can be made visible or hidden by toggling the eye icon. 

The currently active quote cannot be hidden. 

Set the Quote Date

When creating a new quote, the quote date can now be manually set. This date will default to the current date but can be backdated up to a year in the past or predated up to a month into the future. This allows your office to correct existing quotes or prepare for future consults. 

Quote Subtotal After Supplies

A new option to display a subtotal after supplies has been added to the Quotes template. This subtotal will include procedures, supplies, and any consultation credits.
This setting can be enabled by going to Practice > Settings > Quotes > Templates, scrolling down to Itemized Sections and checking the "Show Subtotal After Supplies" box. Both the procedure subtotal and the subtotal after supplies options can be enabled at the same time. However, both subtotals are disabled if the option to only show the total price is enabled.

New Scheduler Features and Settings

Updated Appointment Status Indicator

Based on client feedback, we have updated the Chart Note status indicators displayed on appointments. The new indicators utilize thinner stripes to reduce visual clutter on the schedule. 
  • Red stripes—Indicates that a Seen appointment (green status bar) or Checked Out appointment (white status bar) does not have a signed chart note
  • Grey stripes—Indicates that the appointment has a chart note waiting for co-signature
Once the chart note has been signed by the provider, the stripes will be removed. 

Display Type and Subtype on Appointment

The appointment type and subtype can now be prominently displayed at the top of appointments above the patient name. This setting can be enabled by going to Practice > Settings > Schedule > Scheduler Settings and checking the box to 'Show Appointment Type.'

Appointment Color Opacity

The opacity of appointments can now be customized, allowing for scheduler templates to be seen through appointments. The opacity of appointments can be changed by going to Practice > Settings > Scheduler > Scheduler Settings and changing the dropdown for Appointment Color Opacity. 

The default opacity of appointments is 70%. The image above is using the lowest opacity option of 30%. 

Shortcut to Quotes Added to Right Click Menu

A new shortcut to Quotes has been added to the Patient menu when right-clicking on appointments. 

Hide Overflow Space 

The schedule can now be configured to hide the overflow space to the right of the appointments. Enabling this setting will remove the small space to the right of appointments, allowing the appointment to fill the entire column. 

The "Hide Overflow Space" option can be enabled by going to Practice > Settings > Schedule > Schedule Settings and checking the "Hide Overflow Space" checkbox.
When the "Hide Overflow Space" option is enabled, a new right-click option to schedule a new appointment is added to the appointment menu. This will allow you to book another appointment at the same time as a scheduled appointment.
 

Editing CPT Favorites when Adding to Invoice

The invoice has been updated to allow editing CPT favorites on a per-patient basis when adding them to an invoice by clicking the Edit icon. The same CPT code can be added to the CPT Favorites list multiple times with different ICD-10, modifiers, or prices.. 

CPT favorites can be created by clicking the Add to Favorites button from the charge entry page or by going to Practice > Admin > Doctors and Staff > the blue shield icon visible when hovering over a provider.
